What we hold, and why
We are a small conservation nonprofit and we hold as little as we can get away with. This page says exactly what that is in plain terms, and you can see your own copy of it at any time.

Sign in with your email and you will see everything we hold about you, with a button that deletes it. No password: we send you a link. If you would rather ask a person, email hello@whrfund.org and we will do it for you.
What we collect, and only when you give it
Nothing here comes from tracking you. Every item below exists because you filled in a form, gave a donation, or sent us a message.
- Your email address, which is how we reply. It is the one thing we keep for nearly everyone.
- Your name, if you gave it. Often we do not have it.
- What you told us about a place: a description of a spot for pipevine, a sighting, or land you own.
- What you said you are willing to help with: work parties, cuttings, hosting caterpillars, showing a vine to a class.
- Donations: the amount, the date and the tier. Card details never reach us at all and we could not see them if we wanted to. Stripe handles payment.
- A postal address, if you donated, and only so we can post you a sticker.
- Conversations, if you used the chat on one of our pages. We keep the transcript.
What goes on the public map, and what does not
The map shows places, not people. It never shows your name, your email or your address, and there is no column in the mapped table that could hold your email even by accident.
Two things are worth spelling out because they are choices rather than accidents. An exact pin is deliberately blurred to roughly a hundred metres before it is published, so a spot in a garden cannot be resolved to a doorstep. And we do not publish the words you wrote: we stopped in August 2026, because several people had described their own garden with the nearest cross streets in it, and a blurred pin next to a precise sentence is not private. The map shows a place name from a geocoder instead.
Where a plant is going is never mapped at all. If you reserve a pipevine and tell us where you will plant it, that is stored and never drawn.
How long we keep things
- Chat transcripts: twelve months, then the wording is deleted. We keep the bare counts, not what was said.
- Donation records: kept. A charity has to be able to account for what it received, so if you delete your data we strip your name and email off a gift and keep the amount and date. We would rather say that than call it a full delete.
- Everything else: until you ask us to remove it, or until it is no longer any use to the work.
Who else sees it
No advertisers, no data brokers, no sale of anything to anyone, ever. Four services process things on our behalf, and each sees only its own part: Stripe for payments,Resend for individual emails, Sender for the newsletter,Cloudflare for hosting and the database. Our chat sends what you type toAnthropic to generate a reply.
We do not email a third party about you. If a conversation drafts a message to a landowner or an agency, it is shown to you first and only sent if you press send, with you copied on it. Nothing leaves in our name without a person reading it.
Newsletter
Only if you asked. Every email has an unsubscribe link, and it works. Giving a donation does not sign you up for anything.
Cookies
One, and only after you sign in: a cookie that remembers it is you. No analytics cookies, no advertising cookies, nothing that follows you off this site.
Children
Our education work happens through schools and community groups, and we deal with the adult running the group. We do not knowingly collect anything from a child.
